Very important - for 2019 all stock received needs to be recorded and noted as to what is consignment stock, what is stock we've purchased, and what is tasting stock - each needs to be split out.
Beer and Merch Fest Set Up
4 Months:
Confirm 5 breweries who are able to take part, requirements are:
o Provide free sampling stock for 250-300 people, 30-50 ml per person
o Provide stock on consignment to sell on special
o 2018 breweries were; Akasha, Batch, Wayward, Philter and Sauce
Confirm food truck – 2018 was Jackalope Food Co
Confirm date of event, must be a minimum of 3 months out.
Send Google Calendar invites to breweries, food truck & staff
3 Months:
Create social graphic using template in canva
Create event using Eventbrite and use built in integration to add to facebook
o Eventbrite login details:

Add breweries and food truck as cohost and ensure they accept invite
2 Months:
Ensure we have enough customer sample cards, if not template is in Vista Print
Contact Crafty Pint for article around the event.
Create flyers for in store + to be sent to Sydney online pruchasers
1 Month:

Organise what specials the tasting beers will be

1 Week:

Ensure no beer orders are coming in 2 days out from event
Order in water + coloured dots for pricing
Ensure Square or POS is setup
1 Day:
· Buy ice + water (small bottles for brewers + 10L containers - 5 x 10L containers for 250 people), bin bags, duct tape if not already purchased
Warehouse Set up
o Move pallet racking opposite grey shelves where crates are – breweries to be stationed here
o Move In store pickups – 4/6 packs + pricing to be on shelves near warehouse lights
Cases to be put on pallets
o Brewery table to be blocking access to English beer section
o Block access to Australian and USA beer sections - put rope across and staff only sign
o Keep warehouse/store door opened at all times
o Look to clear all floor space warehouse floorspace except for fast moving products e.g. Balter
Have square ready for use + tablet charged
· Checklist
o Front right hand door looking out of store open
Signage at registration table, plus signage at brewer tables, water, merch pricing, beer for sale etc (see attached doc)
Move packing knives away from where consumers are
Clean Toilets
Clear little bins
Put bins, plus ladder outside
Boxes in store
Hourly check toilets, stock, ice, rubbish
o Toilet cleaning schedule (every hour)
o Get toilet rolls

o Signage – toilets, pricing, stock, breweries, RSA

Hey!
We can’t wait to see you this Saturday at our Beer and Merch Fest. Just a couple of details about the event.
We have a tonne of great merchandise, some very tasty beers and all money raised goes to BeyondBlue supporting mental health.
While this is a free event we do ask for a gold coin donation to support this great cause.
Your entry also puts you in the draw to win $100 of great merch. To be in the running to win all you have to do is attend on the day!
When you arrive please have your tickets ready to be scanned (printed or on your phone). You will receive a tasting cup and card that allows you allows you to receive 10 beer samples. It is strictly 1 per person and no repeat entries.
Beer Cartel is located at 9/87 Reserve Road, Artarmon. There is on site parking, however if things do get busy try Victoria’s Basement which is jlocated ust across the road. If you're travelling by public transport simply head to Artarmon or St Leonards Station. Beer Cartel is a 10 minute walk from either station.
If you are wanting to continue the festivities post event, I highly recommend Salvage Specialty Coffee, located next to Artarmon station for great beer and food.
