Overview of Task - what we are doing
Every week we receive new stock and re-stocks of beers that we sell online and in our Sydney store. To keep our customers informed of what these latest beer arrivals are we have an In Store and Growlers page that we update a few times a week when beer arrives.
Purpose of Task - why we are doing it
This is one of the most visited pages on our website so it is important to keep updating it as customers refer to it to know what is going on with latest beer arrivals.
Task Outline - the task broken down into steps
The page is updated with both bottled beer and keg beer stock. The stock is typed in from the invoices we receive which list the stock that has arrived. Follow these steps to create the list of latest beer arrivals:
1. Open this Google document.
2. Open the scanned PDF document that was sent through via email.
3. Print the PDF document as this will be easier to type off than flicking between screens.
4. Ensure that the invoices are in reverse chronological date order, the date is written by hand towards the bottom of each invoice. This is written by Beer Cartel staff and is the date that the stock was received. Do not use the "invoice date".
Why reverse chronological order? The beers are entered with the latest beers at the top of the list. So if you start with the latest date first at the top of the printed pages then this will assist in having it in the correct order more easily.
5. Work through the invoices one by one and type each product that is listed on the invoice into the Google document. List the products under the date that it was arrived (the date should be a headline and written Day, Date, Month - e.g. 16th March 2017). Make the date headline bold. For reference on how this is displayed please refer to the In Store and Growlers page
NOTE 1: Some of these names will be abbreviated on the invoice so if required refer to our website for the product name. If the product is a new product and has not yet been added to our website use Google to try and determine what the beers. All beers that are new will be highlighted, this means they are a new beer.
Note 2: We buy stock both directly from local breweries and from beer importers/wholesalers. Each beer that is typed up should commence with the brewery name first then the name of the beer. For beers that are purchased from importers/wholesalers do not write the importers/wholesalers name (which is listed at the top of the invoice). A list of importers is provided below for reference.
Note 3: 99% of the time you will not need to add the bottle size, you will only need the beer name. The only time the bottle size/format gets typed is if it is a beer that we have had in the past in but this new stock is in a different bottle / can size.
For example. The Rogue Yellow Snow IPA (can) that we received last week we have had in previously but only in 330ml bottles. So this is the first time that we have had the Rogue Yellow Snow IPA in 440ml cans. It would therefore be considered a "new product" in the sense that it is a different packaging format. The "NEW!" text would be added when this product is added to the list. It would also be highlight on the invoices that are sent through.
Note 4: We sometimes buy beer kegs, these are to be listed separately under a headline "Kegs". To identify a keg look at the product size, kegs are either 19 litres, 20 litres or 30 litres.
7. The invoices list both new products and existing products that are being re-stocked. The new products are the ones that are highlighted. For all new products add "- NEW!" . This is done to highlight to our customers which products are newly available.
6. If unsure about a specific beer / product highlight this in yellow so it an be confirmed. You can also refer to the website for the beers exact name, as many of the invoices will have shortened names.
Note 5: the following words do not need to be typed / entered. These are just used as a reference for us and does not need to be entered onto the In Store & Growlers page
- bottle, can, case, cube, box
- bottle or can size e.g. 330ml, 355ml 650ml, 750ml etc.
Note 6: beers that are marked as "Not Supplied" or "Back Ordered" should not be typed / entered. These beers were not delivered and therefore we do not have stock of these items.
7. Once all the beers have been entered under the date headline that they arrived, go back through and compare the PDF printed sheets and what you have just typed. Look for spelling mistakes and ensure all the correct items have been typed/entered.
8. Once all OK send an email to the person that send you the PDF document notifying them that the beers have been typed up in to the Google document.

How to Update In Store & Growlers Page in the Website
1. Log in to Big Commerce.
2. Go to Store Front. Then, click "Web Pages"
3. Find the page name: "Sydney The Craft Beer Store & Growlers"
4. Under action, click Edit.
5. Click on the Toggle Full Screen Mode (blue square) under the Page Content Tools to enlarge the screen and to easily edit the list.
6. Copy the list from the Google document then paste it on the page content.
7. Make sure to bold the dates, headings, and NEW!
8. Under kegs, only include those that haven't been included in the list before.
9. When you are done editing the list, click the Toggle Full Screen Mode again.
10. Click "Save & Exit"
11. Refresh the page to check if it was already updated.
Troubleshooting:
If after refreshing the page it doesn't list the next beers on tap the code needs to be re-added in. The code for this is as follows:
