- Give breweries a 2 week time period to deliver stock.
- When creating timelines allow for a 1 buffer week between stock beginning to be delivered and kitting and assembly.
- Clearly state in order email to breweries when the stock needs to be delivered by.
- Have 3 "stock quantity points" 1. definite requirement, 2. is top up 3. is stretch requirement. Ensure that as a minimum breweries set aside stock for both definite and top of requirements. Otherwise may get in situation where they just don't have enough stock on hand to do the deinite and top up without having to source from alternate location/warehouse - meaning expect to pay for extra pallet in fees from 3PL.
- Cans can fit 100 cases to a pallet, while bottles are 78 cases (although some breweries will put less than this). State how many pallets per delivery should be done, otherwise expect extra pallet in fees from 3PL.
- With the first orders, purchase in full pallet quantities - this makes it easier all round, but ensure there is clear communication as to what constitutes a full.
- Send automated emails to pre-order customers after purchase saying when the calendars will be dispatched
- Based on a $9.99 NSW/ACT and $14.99 all other state deliver charge for each Advent Calendar dispatched, Beer Cartel subsidised approximately $1.50 of freight costs. This equates to an approximate total for 2017 of $4,000 of freight cost being subsidised for advent calendars dispatched. This is based on a Sydney delivery of 12kg being $8.15 inclusive of GST to deliver by Australia Post (last rate card provided showed $7.86 from Oct 2014) and a Perth delivery by Australia Post being $28.71 inclusive of GST (last rate card provided showed $27.61 from Oct 2014).
- Expert Beer Advent Calendar. The one create for Michael Doherty contained 7 spots with cans. It was tight and bulged a bit in one corner but is possible. In these slots there were 9 cans in total, 2 for days 24/25 and then another slot had 2 cans in it (Akasha Hopsmith and Mornington Brown) so that the it could a day where beer blending was an option to create a India Brown Ale.
- The 2018 packs weighed 13.8 kg with 21 x 330ml bottles, 1 x 355 can, 1 x 330ml can 1 x 375ml can and 1 x 500ml can.
- Once breweries have confirmed they would like to be part of the advent calendar have them complete a Google form survey. This should have items like the following included:
- key contact person(s) / email address - include their role (sales person, owner, brewer, graphic designer)
- beer that will featured
- if unique beer an idea of the description / style / ingredients
- packaging format and size
- case size
- box type e.g. top load vs side load
- price
- agreeance with items like delivery window, package format and price
- type of packaging - holders, wraps or can clips
- confirmation ability to leave out holders / can clips
- confirm ability to brew fresh batches just for the advent calendar stock
- estimated brew dates / packaged dates / bottling dates
- confirm ability / OK for split shipments
- confirm for all unique brews to have them embargoed until after reveal day in December
- if unique beer confirmation of final estimated yield size with what quantity will be left over
- confirm ability for Beer Cartel to access additional stock of limited release beer in packaged or keg format
- During the pre-order period have a note at the top of the Shipping & Delivery page that states when Pre-order advents will be dispatched.
