Certificates sold online via the Beer Cartel website can be redeemed in store or online. Certificates are sold online only and emailed to the purchaser – no certificates are sold in store.
NB: $5 or $10 coupons given to customers for doing online product reviews can only be redeemed online. If a customer wants to redeem a gift certificate in store ($30 - $1,000) that was given to them as a gift follow the steps below:
For Certificates issued on the new Big Commerce (12 digit code with dashes) website see the steps below:
PART 1: Find the Voucher on Website and Verify it has not been redeemed
1. MOST IMPORTANT STEP: Check to ensure the gift certificate is still active and has money remaining on it (as gift certificates can be part redeemed online over a couple transactions, although it is not something communicated to customers and not something we encourage. We always want a customer to redeem the full value in one transaction, especially for in store redemptions).
1a. Go to this page https://www.beercartel.com.au/giftcertificates.php?action=balance (goes to Beer Cartel website > Gift Certificates > Check Remaining Balance)
1b. Enter in the 12 digit code, including dashes and click "Check Balance"
1c. Result will show if gift certificate Exists and how much is remaining on it.
1d. If the gift certificate has funds remaining funds proceed with steps below (from step 2 onwards), only allowing redemption up to the value shown when the "Check Balance" search was done.
1e. If the voucher is shown as Not Existing, Expired or Not Valid double check that the code was entered correctly. Redo Check Remaining Balance search if necessary. If code was entered correctly and you still want to investigate the validity of the voucher (e.g. customer is adamant that the voucher is still valid) following steps 1 - 5 below.
1f. If the gift certificate is definitely not valid / expired / has no funds then let the customer know and do not process a transaction with the gift certificate.
2. Login to new website store backend (bookmark link & password saved on store computer)
3. Go to Orders > Gift Certificates
4. On the Gift Certificate it will have the name of the voucher code, the person that purchased this and who they bought it for. Find the Voucher Code by using the Search box at the top of the Gift Certificate Page, double check the code and match it to the one on screen (12 digit code e.g. HJK-SV-SPW-987), cross checking the purchasers and recipients name.
5. Because of an issue with Gift Certificates on the website a gift certificate may have been redeemed online but still say that it is active and that all funds can be redeemed. To check if this is the case open up a new window and go to Beer Cartel > Gift Certificates > Check Balance
6. If the after checking that the Gift Certificate is still active and has not been used set it to "Disabled". NOTE: If it is already set "Disabled" it means the voucher has already been used. Do not redeem again.
7. Now add a note to the original order. Using the Search Box at the very top of the screen, copy and paste the purchaser's name or email address.
- To access this via email hover over the purchaser's name, right mouse click, select 'Copy Email Address' and paste it into the very top search box.
- To access this via the purchasers name copy their name and paste it into the very top search box.
(In some instances for guest purchases neither option will work)
7. Click on the Order search result for that email address
9. Click on Store notes icon and type (DATE, STAFF INITIALS, GIFT CERTIFICATE REDEEMED IN STORE BY PERSON'S NAME e.g. 07-10-15 RK GIFT CERTIFICATE REDEEMED IN STORE BY JASON ERNST)
10. Stamp the Gift Certificate with the In Store Pickup Stamp and get the customer to write their name and signature. Write your name on voucher and place on spike. If the customer does not have a print out of the voucher you need to write the details down and then place the piece of paper on the spike.
PART 2: Putting the Sale Through the Store Register
Once you have done this you will then need to enter the in store order through the shop register, Follow these steps.
1. Scan the items they want to purchase (note that they have to purchase to the full amount or more – a voucher with the difference cannot be provided and cash will not be substituted/given)
2. Add a note F3 with the BC VOUCHER CODE, person’s name and order number. This can all be found on the printed voucher they bring into the store.
3. Once all items have been scanned and notes added select F8 “Charge” and charge the voucher amount (or less if they are purchasing less than the voucher) to the “Beer Cartel” debtor account. Use a split payment if the customer is purchasing more than the amount of the voucher.
E.g. 1. Voucher is for $50 and customer only purchases $48.50.
Charge the $48.50 to the beer cartel account and the $1.50 is forfeited by the customer. No cash or adjusted voucher is provided
E.g. 2. Voucher is for $50 and customer purchases $60.50 of beer.
Charge $50 to the Beer Cartel debtor account (F8) and have the remainder paid in cash or EFTPOS by the customer
6. Place the voucher on the receipt spike ensuring it is marked as "REDEEMED" with the customers signature and staff members name, and the date.
7. Transaction is complete, customer can take their goods.
