Throughout the month subscriptions are received via the website and are entered into our POS system. As these orders are not dispatched immediately, but rather in one go either at the start of each month (for monthly packs) or 20th of each quarter (for Expert packs) they are collected in the trays of the warehouse over the course of the month.
At the start of each month, prior to dispatching orders it is required that all beer club orders are taken from the trays, sorted and added to their respective hard copy folders.
Follow these steps to sort out entered beer club subscriptions.
1. Go to warehouse and take all subscriptions from the tray that occurred in the previous month. e.g. if today is 2nd April then the orders would all those that were made by customers in March (based on the online ordering date/time stamp, not when it was entered into our system).
2. These will all be face down so that the order is easier to sort through as they will be chronologically "pre-sorted". Now you need to sort them into 4 different piles (keeping them in chronological order), The 4 piles are based on each subscription type (Starter, Enthusiast, Crowd Pleaser, Expert)
3. Once sorted and checked to be in the correct order they are ready to be added into the hard copy folders. NOTE: the hard copy folders are to only have Active subscriptions. Subscriptions that have expired or have been cancelled are to be removed from the folder. They are to be placed in the A4 boxes as outlined in one of the last steps in the Master Process list.
To add the new subscriptions to the hard copy folders separate the invoice and packing slip from each order and create 2 new piles. One for packing slips and the other for invoices. Keep these in chronological order.
4. Hole punch the packing slips and place at the back of the respective beer club type folder that you are sorting.
5. Staple all the invoices together and place in the Beer Club Processed Online RSA Orders RSA box, which is located upstairs in the office.
6. On each packing slip write/create a table with equivalent number of months the order is for, see other subscriptions in folder for how this looks.
