From time to time our stock counts in the system (RSA/website) will be slightly out compared to the actual physical number of products on hand. This can be a result of a number of things including:
- incorrect invoice entry
- incorrect selection of product in store on POS
- incorrect barcode allocation
- broken stock not taken to ullages / stock count not updated
As a result sometimes a customer will orders something online that we do not have stock for. In this instance we either need to call the customer and/or email them letting them know that a particular product is out of stock.
The following can be used as a script when calling or template for the email. If emailing simply search for the confirmation number in your email and then click Reply All, ensuring to CC [email protected] as well.
NOTE: when replying add PLEASE REPLY to subject e.g. Beer Cartel - Confirmation of your order #36729 - PLEASE REPLY
Hi [CUSTOMER],
Thanks for your order.
We are unfortunately out of stock of the [insert product] (slight stock count error in our system, doesn't happen often but has done in this instance).
Was there another beer you would like to replace it with? Or alternatively we can substitute it with an additional [provide suggestions]?
