Exporting the Orders from BigCommerce
Log into BigCommerce
Go to Orders > View Orders.
Click on the Awaiting Fulfillment link at the top of the page.
Select the tickbox for all the printed and checked orders.
Once you have selected the orders click on the Choose Action drop down menu at the top of the orders list and select Export Selected and then click the Confirm button. Click Print.
Select AusPost Export from the Template list and click Continue.
Click on the Export my orders to a CSV file link.
Click on the Download my Orders file link.
Save the file to AUSTRALIA POST MANIFEST CREATOR - BEER CARTEL > [CURRENT YEAR e.g. 2019] > [CURRENT MONTH e.g. 1. January] > [CURRENT DATE e.g. 05-01-19]. Note you will need to create the date folder, you may need to create the Month and/or Year Folders.
Add the current time to the file name e.g. 1102AM and click Save.
Run the Australia Post Excel Macro
Open the Beer Cartel Australia Post Excel Macro (Macro_BeerCartel_AUPost_V6.xlsx) located in the AUSTRALIA POST MANIFEST CREATOR - BEER CARTEL folder.
Click the Browse Orders CSV button.
Go to AUSTRALIA POST MANIFEST CREATOR - BEER CARTEL > [CURRENT YEAR e.g. 2019] > [CURRENT MONTH e.g. 1. January] > [CURRENT DATE e.g. 05-01-19] and select the BigCommerce export file with the appropriate time stamp.
Click the Process button.
Once it has finished processing it will display the message Orders processed successfully and ready for update, click the OK button.
Referring to the weight written on the printed orders, go through and adjust the weight in Parcel 1 Weight e.g. if the weight on the invoice says 5 (the circled number) then type the number 5 in the field cross-referencing the name to ensure it is the correct order. Note if there is more than one weight for an order because it has multiple parcels e.g. 2 x 13 then enter 13 into Parcel 1 Weight and 13 into Parcel 2 Weight. If there are more than 3 parcels, the additional weights will need to be entered via the eParcel online site post import.
In the Delivery Comments fields remove any comments that do not specifically relate to delivery of the order e.g. Any gift card messages, comments about not including pricing etc. Note delivery comments will only appear when the Authority to Leave field is populated as Yes. For any other delivery comments these can be hand-written on the label once printed.
Scroll right and do a visual check of the Buyer Address 1 & 2, City, State & Postcode fields for any anomalies e.g. address incorrectly imported as date in Buyer Address 1 & 2 fields, address doubled up in Buyer Address 1 & 2 fields, suburb in Buyer Address 1 & 2 fields, first digit in Buyer Postcode field not matching state in Buyer State field etc.
Scroll left and click the Create eParcel CSV button, you'll receive a confirmation message when it has been completed, click the OK button.
Close the Beer Cartel Australia Post Excel Macro, don't save.
Import the eParcel CSV
Login to Australia Post's eParcel online site: https://online.auspost.com.au/eParcel/common/auth/login.do
Select the radio button next to Location ID XT7 which is Beer Cartel and click the Login to Location button.
Click the Import Reference File hyperlink.
Select the Important Consignment File radio button and click the Choose File button.
Go to AUSTRALIA POST MANIFEST CREATOR - BEER CARTEL > [CURRENT YEAR e.g. 2019] > [CURRENT MONTH e.g. 1. January] > [CURRENT DATE e.g. 05-01-19] and select the eParcel CSV file with the name BeerCartel_eParcel_[TODAY'S DATE e.g. 05012019]_[TIME THE FILE WAS CREATED e.g. 1228PM].
Click the Import button.
You should be re-directed to a page with a confirmation message similar to the following The file with 9 records imported. An error/warning occurred during the import. Please check the log file for more details.
Click on the View Log File button and review the results. Errors often relate to Suburbs not matching postcodes (e.g. Sydney 3000 instead of Sydney 2000) or City being used instead of Suburb (e.g. Sydney 2064 instead of Artarmon 2064.
In the Top Menu hover over Consignments and click View Consignments - Not Dispatched.
Check the Invalid column for any icons.
For any orders with an orange Icon with a white A, click on the consignment number hyperlink (e.g. XT70043838). Review the error message at the top of the page. Update the suburb or postcode as necessary (check google maps, check the suggested suburb/postcode when entering either or call the customer/AusPost). Once correct click the Save button at the bottom right of the page. The page should update, the error message should disappear and should be replaced with the message Actual Weight is required, disregard this message. In the Top Menu hover over Consignments and click View Consignments - Not Dispatched again.
For any orders with an red Icon with a white X, click on the consignment number hyperlink (e.g. XT70043838). Review the error message at the top of the page. Update the address, suburb, state or postcode as necessary (check google maps, check the suggested suburb/postcode when entering either or call the customer/AusPost). Once correct click the Save button at the bottom right of the page. The page should update, the error message should disappear and should be replaced with the message Actual Weight is required, disregard this message. In the Top Menu hover over Consignments and click View Consignments - Not Dispatched again.
For any order that had more than 3 parcels, click on the consignment number hyperlink (e.g. XT70043838). In the Actual (kg) field at the bottom of the screen add the weight for the next parcel and click Save. Repeat for each additional parcel.
Any orders that had a red icon with a white X will need to be re-assigned to the manifest. Tick all orders that had a red icon with a white X (these orders won't have a tick in the Next Manifest Ind column) and click the Assign button at the top left and then click the OK button when prompted.
Click the Ref No.1 column header and ensure that all orders are sorted from lowest invoice number to highest.
Select all orders by click the tickbox in the tickbox column header, click the Labels button and then click the OK button when prompted.
Click the Print icon at the top right of the print preview pop-up.
Click the Print Using System Dialog link at the bottom.
Ensure iR-ADV C5051 is selected and click Preferences.
Click on the paper tray sticking out of the right of the printer diagram and it should be highlighted in blue then click the OK button.
Click the Apply button and then click the Print button.
For any deliveries where there was a Delivery Comment but Authority to Leave wasn't provided, hand write the delivery message on the Australia Post label in the Delivery Comments area.
Editing Consignments
Login to Australia Post's eParcel online site: https://online.auspost.com.au/eParcel/common/auth/login.do
Select the radio button next to Location ID XT7 which is Beer Cartel and click the Login to Location button.
In the Top Menu hover over Consignments and click View Consignments - Not Dispatched.
Click on the consignment number hyperlink (e.g. XT70043838).
Edit as necessary and click the Save button.
In the Top Menu hover over Consignments and click View Consignments - Not Dispatched.
Select the tickbox next to the edited order and click the Labels button and then click OK when prompted.
Go to step 15 of the Import the eParcel CSV guide.
Unassigning/Deleting Consignments
If you want to hold off shipping a parcel just unassign it. If the order has been cancelled and the parcel isn't going to be shipped then delete it.

Select the radio button next to Location ID XT7 which is Beer Cartel and click the Login to Location button.
In the Top Menu hover over Consignments and click View Consignments - Not Dispatched.
Select the tickbox next to the order to be unassigned/deleted and click the Assign/Delete button and then click OK when prompted.
Dispatching Consignments
Login to Australia Post's eParcel online site: https://online.auspost.com.au/eParcel/common/auth/login.do
Select the radio button next to Location ID XT7 which is Beer Cartel and click the Login to Location button.
In the Top Menu hover over Consignments and click View Consignments - Not Dispatched.
Scan down the Label Printed and Next Manifest Ind columns and ensure both are ticked for all consignments.
Click the Dispatch button and when prompted click the Yes button.
Click the Print button, two pages should print.
Sign the second page in the space next to where it says Sender's Signature, staple both together and place on the forklift.
When Australia Post comes to pick up the parcels they will sign the top page and take the bottom page. Place the signed top page in the Australia Post Manifests box in the office upstairs.
Post-Dispatch Issues
- If the sender address is entered incorrectly and then dispatched then it is possible to cross out name and write in the correct name.
- For any issues once the parcels have been dispatched (e.g. remove a parcel from AusPost as it wasn't sent out) contact Catalina Amaro, [email protected], 9941 7778. This needs to be completed within 24 hours from dispatch and should be recorded in an email to [email protected]. See example below:
