Follow these steps to place an order:
1. Determine which supplier you need to place an order from and look at their specific page on the intranet to determine best ordering method, minimum requirements, deals, order days etc.
2. Determine stock amounts to order. For small portfolios you can look via the products in RSA, for larger porfolios the Ordering Macro can also be used.
3. Ensure to look through the entire portfolio not just the suppliers "new" or "latest" stock arrivals / email. Do not just go "off the top of your head" and place the order.
4. Check if any other staff require specific stock amounts for things like beer club or mixed packs etc.
5. If emailing through the order ensure that the following is done:
- Consider if a beer is being used as part of a mix pack, as these will note be included in any past sales figures as stock counts when stock for mix packs are used are adjust manually, i.e. not as a "sale" and therefore will not appear in the sales column.
- Section out larger orders, e.g. by brewery or by bottle size or country
- Ensure if multiple packaging formats to always stipulate which one e.g. bottles vs cans, 330ml vs 750ml
- Stipulate vintages or stylistic variations e.g. Barrel Aged vs Bourbon Barrel Aged vs Rioja Barrel Aged
- Stipulate any buy deals that they need to ensure are loaded against the order
- Stipulate a delivery date if required, i.e. if urgent.
- Double check email before sending to ensure all makes sense (beers, quantities etc) - especially for interstate orders.
- Generally speaking purchase based on a forecast of an average 2 months worth of stock as a general rule, longer if the beers are hard to come by and have long shelf life - e.g. Belgian beers or limited releases that are OK to have for a longer period of time etc.
- Request supplier sends you an email confirming receipt of the order and if any issues / stock outs.
- Ensure there is stipulation for fresh stock only. Min 4 months.
