Once a position has been filled the following phone calls and emails need to be sent. For emails only going to a few people these can be easily send individually. For those being sent to a larger list of unsuccessful candidates click here to view how to do a mail merge with Gmail.
1. For top tier applicants that were unsuccessful
Contact by phone any of the top tier applicants that were on the "finals" list but were not selected for the role. You want to explain to them that the role has been filled but in this instance another candidate was selected. The following script can be used if required:
Hi (name), its (insert your name) from Beer Cartel, I just wanted to give you a call to update you on the role you interviewed for. Is now a good time for you?
We've made a decision with regards to the role and have appointed another candidate. We didn't make the decision lightly with the field of applicants being quite large and containing many high calibre applicantions.
You were in the final stages and the decision was a tough one but the successful candidate ultimately had a great breadth of craft beer industry experience. [or insert main reason other applicant was chosen]
I can say that what we did like about your application and interview was [insert relevant experience/knowledge that stood out]. And we really appreciate you have taken the time and effort to apply for the role.
We always like to stay in touch with others we saw value and potential in, so if its alright with you I'd like to keep the lines of communication always open as we never know what might come up as our business continues to grow.
2. For applicants that interviewed but did not make the "finals" list, send them this email.
Subject: Beer Cartel Store Manager/Assistant Manager Application
Hi [insert name],
Thank you for taking the time to interview with [insert other staff member] and myself last [month/week]. This email is to let you know that we have selected another candidate.
While you were not selected for the current opening, we did not make this decision lightly. The key reason another candidate was successful in this instance was their breadth of experience within the craft beer industry across various roles, in particular liquor retail.
Again, thank you for taking the time to come and meet with us. We enjoyed meeting you and our discussions indicated that you have much to offer your current and future employers.

3. For applicants that did not interview but were potential for casual roles, send this email.

We had many applications and unfortunately you have not been successful on this occasion. However, our businesses is always growing and we are often in need of casual-work based employees. If this type of work is of interest to you please let me know and we will keep your details on file and let you know should any openings arise.
